Welcome to The Hot Box Sauna. By accessing or using our services, you agree to comply with and be bound by the following Terms and Conditions. Please read them carefully before making a booking or using our facilities.
1. Booking Policies
1.1 How to Book
Bookings can be made online through our website (https://thehotboxsauna.ie) using our booking system. Walk-ins are subject to availability.
1.2 Age Restrictions
Our experiences are strictly for individuals aged 18 years or older. Proof of age may be required, and entry will be refused to anyone under 18.
1.3 Group Bookings
For large group bookings beyond the standard offerings, please contact us directly at support@thehotboxsauna.ie. Custom terms may apply.
2. Cancellation and Refund Policies
2.1 Cancellation & Rescheduling
- Cancellations must be made at least 24 hours before the scheduled session to qualify for a refund.
- Rescheduling is allowed up to 5 hours before the session.
- Both cancellations and rescheduling can only be processed through the smart link provided in your “Upcoming Sauna Experience” email, sent upon purchase.
2.2 No-Shows
Failure to attend a booked session without prior notice will result in the forfeiture of the full booking fee. We can only process cancellations or reschedules that comply with our policy (See 2.1)
2.3 Late Arrivals
If you arrive late, you will lose that portion of your booking time. Missed time cannot be carried over to the next session, as this affects availability for other guests.
3. Loyalty Program
3.1 Rewards
Customers can earn a free session after 9 paid check-ins, receiving the 10th session free. This is facilitated by our physical loyalty card, available at all locations. After 50 sessions, we will issue complimentary merchandise from our store. This does not apply to group bookings.
3.2 Eligibility
Loyalty rewards cannot be redeemed in conjunction with other offers or discounts.
4. Health, Safety, and Assumption of Risk
4.1 Health Declaration
By booking or attending The Hot Box Sauna, I, Customer Name confirm that I am in good health and have no medical conditions that could be adversely affected by sauna, cold plunge, or rapid temperature changes. These activities may not be suitable for individuals with heart conditions, high or low blood pressure, respiratory issues, epilepsy, skin sensitivities, or other health concerns. If you are pregnant, under the influence of alcohol or drugs, or have any concerns about your health, you must consult a healthcare professional before participating.
4.2 Prohibited Activities
The following are strictly prohibited:
- Consumption of alcohol or drugs during your session or anywhere inside our premises.
- Smoking anywhere inside our premises.
- Bringing glass or sharp objects into the sauna.
- Record videos or take photos of other customers around the sauna area and plunge pool area.
- If you show signs of being under the influence of drugs or alcohol your entrance will be denied.
4.3 Assumption of Risk
I Customer Name acknowledge and accept that sauna and cold plunge use involves inherent risks including, but not limited to, dehydration, overheating, cold exposure, slips, and falls. You agree to follow all staff instructions and safety guidelines and to inform staff immediately if you feel unwell or experience discomfort during your session.
4.4 Liability Waiver
To the fullest extent permitted by law, The Hot Box Sauna and its staff shall not be liable for any injury, loss, or damage incurred during your visit, except where such liability cannot be excluded under Irish law.
It is the responsibility of all customers to immediately report any accident, injury or incident that occurs on site to a member of staff. Customers are required to complete an official accident/incident report form at the time of the occurrence to ensure the matter is properly recorded and addressed in accordance with our health and safety procedures.
4.5 Outdoor and Natural Surroundings
If you decide to enter any natural surroundings or water sources near our facilities, you do so entirely at your own risk. The Hot Box Sauna and its staff are not responsible for injuries or incidents occurring outside our controlled premises.
4.6 Personal Belongings
You are responsible for securing your personal belongings. The Hot Box Sauna is not liable for lost, stolen, or damaged items, except where this results from our negligence. This includes but is not limited to bathing suits, jewellery, smartwatches, glasses, lenses, towels, and footwear.
5. Customer Conduct
5.1 Behavioural Expectations
We expect all customers to:
- Respect staff and other guests.
- Respect the sauna rules.
- Adhere to the session schedule.
- Follow all posted and communicated safety instructions.
- Be responsible for their own belongings.
5.2 Policy Violations
Failure to comply with our conduct guidelines may result in immediate removal from the premises without refund.
6. Privacy Policy
6.1 Data Collection
We collect customer data to manage bookings, process payments, and improve services. Please refer to our Privacy Policy for full details.
6.2 Third-Party Services
Our booking and loyalty systems integrate with third-party providers. By using our services, you consent to their terms.
7. Intellectual Property
All content on this website, including text, images, and branding, is the property of The Hot Box Sauna and may not be used without permission.
8. Bundles
8.1 Sharing:
Bundles are for individual use only and cannot be shared.
8.2 Expiry:
Bundle lasts for 90 days from the day of purchase
8.3 Shared Sauna Experience:
Sessions are social, and the sauna will be shared with other guests who book the same time slot.
8.4 Loyalty & Bundles:
As stated in our policy we cannot permit the use of stacking benefits from loyalty programs and discounted bundles (See 3.2)
9. Amendments to Terms & Disclaimer
9.1 Rights
We reserve the right to update these Terms and Conditions at any time. Changes will be posted on our website and take effect immediately upon publication.
